About the Role
This role will provide high level support to the members of the Executive Team to support them to be efficient and effective. The duties of the role will range from expense, travel and diary management and email management through to organising events, scheduling training sessions, putting together packs, managing HR administration, conducting research, report writing and development and client liaison.
This role will need to be able to work with multiple Executives, balance conflicting priorities, work proactively to handle matters and follow through to ensure deadlines are met.
This role will require flexibility in both time and duties and may require some travel.
Core role activities
–Full management of diary for the executive team members
–All travel and expenses for the executives, credit card and concur (expense management system)
– Some management of email inbox activity
–Organisation of relevant conferences and events
–Organisation of any team offsites, as well as supporting to organise any exec offsites
–Organisation chart updates where required
–Assistance with compiling reporting monthly
–Assistance putting together relevant packs and paperwork
–Organising any relevant training sessions, including booking rooms, sending invites and updating attendance records
–Supporting with organisational change – booking relevant meetings, comms, etc
–Arranging client meetings and events
–External communication and marketing support
–Arranging requirements for event such as the Opteon Product Council and other similar events
–Arranging any relevant investor relation activities for our shareholders
You will possess highly developed interpersonal and communication skills. The ability to build and maintain effective working relationships with key stakeholders at all levels is essential to ensure smooth and timely outcomes of business priorities, together with:
3 years' experience in Executive Assistant to Senior Executive positions or similar responsibility level.
High level proficiency in Microsoft office suite
Highly self-motivated, professional and capable of managing their work load and prioritising tasks in a fast-paced corporate environment supporting multiple Executives.
